JOB OVERVIEW

Overview

The Assistant Registrar will assist the team in receiving/handling valuable property and maintaining accurate inventory records; she/he will be expected to undertake consistent learning in order to improve their capability and efficiency in recording key attributes pertaining to property for obtaining shipping quotes.

Responsibilities

  • Examine property either offsite or receipt to record or verify logistics attributes, including piece count, weight, dimensions, etc.
  • Accurately record the condition of property received, generate reports of condition and flag the undisclosed damage immediately to all relevant parties
  • Assist with the hanging/installation/set up of exhibitions and private viewings as well as de-installation, packing-up and re-crating
  • Distribute arriving property to appropriate departments or storage locations and recording the movement(s) and assist with releasing property to clients, shippers and 3rd parties at Property Collections
  • Ensure all policies regarding the security, handling, movement and storage of property are adhered to at all times
  • Maintain all property information in SAP and all associated log books as required, including all movement(s) between locations
  • Participate in ad-hoc duties as requested, not limited to additional main and mid-season auction based duties which may include, but are not limited to, telephone bidding for multiple departments
  • Operate at all times in line with corporate governance and compliance policies, practices and procedures

Qualifications

  • Degree level or equivalent
  • Fluent in English, Cantonese and Mandarin are essential. Ability to read and write Chinese desirable
  • Some Registrar experience preferable but not essential
  • Experience of careful handling of fragile works of art to a high standard
  • Previous manual handling skills and strong knowledge of property, systems, operating procedures and logistics required
  • Skilful handling of furniture and large sculptures, traditional western art and Contemporary works in a skilful way desirable
  • Experience of hanging paintings, installing artworks (2D and 3D), use of power tools, crating and un-crating desirable
  • Excellent computer skills and able to organise and process high volume email requests
  • Security conscious with strong attention to detail
  • Ability to work independently
  • A team player with ‘can do attitude’ , flexible, good time management, strong organisational and problem solving skills, forwarding thinking and responsible
  • Experience working at HK Convention and Exhibition Centre and/or large events and fairs desirable
