Los Angeles County Museum of Art (LACMA)

JOB OVERVIEW

Reporting to the Assistant Director of Events, the Associate, Events is responsible for all aspects of tracking donor events, event dates and locations; coordinates meetings; schedules events and manages calendar; drafts correspondence; processes expense reports and invoices and tracks expenses; responds to general inquiries and emails; prepares and oversees materials for meetings and meeting setup, as well as other printed materials as needed; assists with list creation and organization and mailings, prepares seating materials for dinner fundraisers, gala fundraisers and other donor events; assist the Events staff with event planning and booking on the museum and city-wide calendars; tracks department inventory; supports coordination of facilities, security and audio visual needs and work orders; works events when needed, including weekends and evenings; communicates directly with donors to greet and support check-in at events.

Responsibilities

  • Coordinates schedule of events and vetting of programming dates with AG and other departments and LACMA calendar
  • Oversees all calendar dates, calendar holds and is responsible for updating these in a timely manner
  • Secures all necessary manpower, equipment, materials, and supplies for event set-up and execution
  • Manages the compilation and circulation of mailing lists for approval as needed
  • Responsible for meeting invitation print and mailing deadlines
  • Coordinates with vendors and museum staff to set-up, break-down, and ensure security throughout the event
  • Creates and distributes event flows, donor research, and R-SVP list to Development and other museum staff as needed
  • Supports content development and assembly of materials as needed
  • Executes post-event best practices including exporting of guest lists and arranging for thank-you gifts
  • Tracks event RSVP’s
  • Manages check-in staff when necessary
  • Oversees event photo storage when applicable
  • Corresponds between major donors and various museum departments
  • Performs administrative duties relating to the aforementioned events as required
  • Provides general administrative support with office functions, phone calls, and mail documentation
  • Performs other duties or special projects as assigned
  • Maintains regular and reliable attendance
  • Assists with budget preparation and is responsible for meeting budgetary goals (if applicable) 

Qualifications

  • Bachelor’s degree in Art History or related field
  • Experience working with major donors or clients and an understanding of major donor cultivation is required Working knowledge of Adobe Illustrator or InDesign, and Raiser’s Edge
