JOB OVERVIEW

POSITION SUMMARY

This 2- year term position works closely with the Collection Development Manager to support the Estate Collection.   This position will update and maintain internal collection development records, liaise with external vendors, and support collection development registration, including media linking and records reconciliation.  Position also helps with data entry and clean-up efforts, and works to maintain data integrity as it relates to collection development.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Works closely with the Collection Development Manager to track objects through all stages of the collection development process, updating records in a timely manner and liaising with internal partners to ensure data is consistent and correct across all Vulcan and Estate systems.
  • Manages and performs data entry into Collection Development tracking spreadsheets as assigned, ensuring proper, timely, and consistent entry and maintenance of data
  • Provides support to the Associate Registrar and the Collections Records Specialist to assist with a records digitization project including:  scanning, sorting, renaming, linking and filing electronic and physical documents.
  • Supports the Collection Development Manager’s efforts for all electronic updating of files and systems. 
  • Assists registration with general records management projects as needed.
  • Adheres to Vulcan and Art Group policies and supports management decisions in a positive, professional manner
  • Other duties and special projects as assigned.

Knowledge, experience, skill, and/or ability  

Required

  • Proficiency with Excel and Microsoft Office Suite
  • Excellent organization and communication skills. Ability to manage large quantity of data at various stages of the sale cycle.
  • Demonstrated organizational skills and experience with management of processes and procedures
  • Excellent written and oral communication skills
  • Accurate and detailed typing/keyboard skills; excellent word processing/computer skills.
  • Ability to assess priorities and work well under tight and occasionally rapidly changing timelines
  • Ability to work professionally and tactfully with Vulcan and Art Group staff, vendors and other industry professionals and maintain high levels of confidentiality
  • Ability to sit or stand for long periods of time.

Ability to be flexible, communicative, and work collaboratively in a team environment.

Preferred

  • Self-starter attitude a plus.
  • A combination of a minimum of 5 years’ experience in data management/administrative and/or collections data management in a museum or private collection with a general knowledge of art history

Some knowledge of computerized database systems, preferably TMS (The Museum System)

Education/experience/certifications

Bachelor’s degree (B.A. or B.S.) from accredited institution in art history, museum studies, art management or related field and 5 plus years relevant experience, OR, relevant­­­ Vocational/Certificate coursework and equivalent years work experience; or equivalent combination of education and experience.

Special remarks regarding work environment:

Language Ability: Ability to read general operational manuals, governmental regulations and safety documents. Ability to write reports, business correspondence, and update procedural manuals. Ability to effectively present information and respond to requests and questions from managers, supervisors, and co-workers.

Math Ability: Able to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Other skills: Knowledge of general office practices, procedures and equipment; extreme professionalism and communication skills; ability to prioritize tasks and work independently; strong organizational and interpersonal communication skills; experience interacting with senior level management.
