The Assistant Event Coordinator is one part circus juggler and one part Tetris master, responsible for supporting the Director of Design Thought Leadership in Design Museum Everywhere’s Design Museum Week event schedules, logistics, and follow-up. Design Museum Week is a conference taking place April 25-29, 2022 with online workshops, presentations, and talks with in-person studio tours around the country.

The role will focus primarily on communication and community building, and the Assistant Event Coordinator will make an immediate impact on our biggest design event of the year by doing the following:

  • Coordinating with internal departments to develop, maintain, and communicate an event schedule.
  • Ensuring the Design Museum Everywhere brand is represented at a high level of quality and in a consistent manner globally.
  • Managing zoom rooms, creating polls and surveys online before, during, and post-event.
  • Assisting with light video editing of zoom recordings program in i-Movie.
  • Coordinating with external partners to ensure that events and elements of sponsorship packages are executed on brand and reflect company objectives.
  • Overseeing speaker collection during events, ensuring proper lead collection material is available and communicating leads to the appropriate teams post-event.
  • Conducting evaluations and collecting data.
  • Developing and testing event materials and messages, including design, production, and dissemination of collateral marketing materials (emails, letters, polls, and surveys) and tool kits per institutional guidelines

  • 1-3 years of relevant event coordination experience.
  • Passion and desire to make a difference in the community through your efforts.
  • Exceptional analytical, writing, and problem-solving skills.
  • Creative and critical thinking skills.
  • Able to work with multiple teams, internally and externally.
  • Experience with project management and juggling multiple project deliverables at once.
  • Be flexible and maintain composure with a positive attitude in changing fast-paced environments.
  • Be able to manage multiple and competing priorities simultaneously.
  • Be self-motivated with unquestionable integrity and have superior time management, multitasking, organizational, and prioritization skills.
  • Knowledge of diverse groups, working with a multicultural workforce, and sensitivity and appreciation of cultural differences.
  • Ability to cultivate and sustain relationships and work effectively with various people.
  • Ability to understand the business processes and culture of non-profit, private, public, and for-profit partners.
  • Flexible approach to connecting and building rapport with participants, staff, leadership, and community partners.
  • Experience in the design industry and an interest in design.
  • Experience specifically in Notion, Mural, or other project management tools.
  • Duration: ASAP- May 13th, 2022
  • Compensation: $22/hr; 35 hours/week
  • This position is fully remote.
  • You’ll report to the Director of Design Thought Leadership, who is based in Portland, Oregon.
