JOB OVERVIEW

LACMA is seeking an Exhibitions Programs Administrator who provides administrative and general office support. Provides financial analysis and budget development assistance under supervision. 

Responsibilities

  • Provides general administrative support to the Exhibition Programs Department, such as phones, mail, FedEx, filing, purchasing office supplies, and maintaining Exhibition’s supply closet.
  • Schedule all Exhibition related meetings including tracking and monitoring all standing meetings and budget meetings.
  • Coordinate and collaborate in planning of Exhibitions Annual meetings.
  • Assist Senior Financial & Exhibition Budget Analyst with processing of Professional Service Agreements, Purchase Order Requests, and Invoice Requests.
  • Assists Manager of Gallery Construction to track hours and payroll for Carpenters and Painters.   
  • Assists Head of Exhibition Coordination and Exhibition Programs Coordinators with development of “ballpark” budgets and touring exhibition reconciliations.  
  • Updates and maintains Tour Reconciliation Invoice Tracking document.
  • Review, verify, edit, and confirm compliance with exhibition agreement and promulgate exhibition credit lines to relevant staff.
  • Work closely with Head of Exhibition Coordination, Exhibition Programs Coordinators, Development staff, Communications and Curatorial staff for exhibition descriptions and determinations of funding credit lines versus organizational credit lines.
  • Add and update information to Descriptions and Credit Lines master document. Ensure Publications and LACMA web site has latest information.
  • In consultation with Head of Exhibition Coordination and Exhibition Programs Coordinators, review and determine catalogue requirements for in house distribution for “Take Shows” utilizing catalogue distribution form.
  • Coordinate catalogue distribution to other departments. Receive, log and store Exhibition’s catalogues. Fulfilling LACMA exhibition agreements, send complimentary copies to participating venues.
  • Maintain Exhibition catalogue inventory, updating log as amounts change.  
  • Create, maintain, and update Exhibitions archival information.
  • Recruit and select undergraduate interns.
  • Provide mentoring for interns and assist Division in developing projects for interns and ensuring that interns receive sufficient learning opportunities.
  • Continually update Exhibitions Master calendars, production schedules, and reports. Track and process outside exhibition proposals using designated tracking form.
  • Maintain departmental correspondence files. Issue courtesy passes for lenders and VIPs. Assemble, send, and track correspondence for venue solicitation packets. Complete final exhibition reports.  

Qualifications

  • Undergraduate degree in Art History, Business, or Accounting.
  • Demonstrated ability to build rapport and work diplomatically and effectively with the public and represent executives in a professional manner to others both inside and outside of the organization.
  • Previous museum experience is useful but not required.
  • Excellent written and oral communication skills.
