Reporting to our Director and senior management advisory board, the Fair Operations Manager for ArtVendôme Fair Limited leads the Operational Team and is a collaborative member of ArtVendôme’s Senior Leadership Group. The Fair Operations Manager will be responsible for the production, logistics and delivery of a world class fair in the luxury sector of jewellery.

The Operations Manager will form strong relationships with colleagues, exhibitors, sponsors, the venues & their teams, contractors, sub-contractors and with local government and enforcement agencies.

You will represent the fair both internally and externally, leveraging resource to ensure that ArtVendôme Fair can achieve the vision of ArtVendôme’s Director, shareholders and investors. You will be expected to take a leading role in contributing to cost management initiatives and work closely with colleagues in commercial divisions to ensure ArtVendôme Fair can secure the resources it needs to succeed.

An essential requirement of the role is to have proven experience in the fair / event space with excellent production, logistics, organisational and interpersonal skills. To provide effective leadership for ArtVendôme Fair and the division, as a valued part of the ArtVendôme brand. The Fair Operations Manager works collaboratively with colleagues who carry fair-wide responsibilities – including managers and their teams in Learning, Visitor Experience, Marketing, Digital Communications, Finance, Partnerships and Exhibitor Development.

The Fair Operations Manager responsibilities include;

  • Direct budget accountability for c. €3 million
  • Managing c. 20 staff / contractors / partners
  • Creation and allocation of the stand plan in consultation with the senior leadership group
  • Plan and coordinate all aspects of jewelry fair operations, including vendor registration, booth placement, marketing, logistics, Exhibitor liaison and advocacy at all times but particularly on-site and immediately before and after the fair.
  • Must have a commitment to answering queries as quickly and calmly as possible at all times
  • Creating an exhibitor manual which will outline key dates (payments, delivery of goods to the Fair, removal of goods after the Fair, opening and closing times etc)
  • Communicating to exhibitors what their fee includes in terms of stand build and marketing; what is extra; rules what an exhibitor can do with their stand; list of recommended partners for lighting, stand design etc.
  • Creating scopes of work for external contracts with clearly defined terms
  • Creating a schedule for delivery of stock before the fair and schedule for breakdown once the fair has finished
  • Problem solve during build up, run and breakdown of Fair.
  • Create an environment with security as the highest priority for the venue, exhibitors, general public and insurance companies.
  • Monitor event performance and make recommendations for improvements to increase efficiency and profitability.
  • Work closely with other departments to ensure that all necessary resources are available for the event.
  • Ensure that all safety and security protocols are followed, including proper use of equipment and adherence to safety regulations.
  • Procure the services of and establish working relations with the following sub-contractor service providers – security, decoration, digital partner, cleaning, hospitality, transport, sanitation etc.

The Fair Operations Manager liaises with and is responsible for bringing all the different elements of the Fair together onsite so needs to manage the build schedule and liaise with the design teams, build teams, security, cleaning, digital partners, decoration and catering

They are responsible for health and safety (policy needed); insurance, relations with customs; finance police (anti-money laundering), local council for rules and permissions around parking, rubbish collection, noise limits etc.

The Fair Operations Manager should brief and employ specialist packers and shippers onsite to facilitate purchases made at the fair. Have the information and knowledge on tax, customs and shipping regulations outside France.

The Fair Operations Manager is a member of ArtVendôme Fair Limited Senior Management Group. This means moving beyond matters of immediate professional or divisional concern to play a full part in ArtVendôme’s overall long-term development and leading it as a contributing and distinctive part of the future of jewellery.

• Act as a positive external advocate for ArtVendôme

• Support the Director of ArtVendôme, and the wider team to develop and implement an integrated, imaginative and accessible fair

• Provide effective collaborative leadership for and support high performance of the ArtVendôme Fair team, nurturing a supportive and collegiate environment for all colleagues;

• Act as a valued and trusted senior colleague, embodying our values (diversity, accessibility, inclusivity) and promoting a culture of collaboration, exchange and trust;

• Work with Finance colleagues and the ArtVendôme Fair Limited senior team to shape annual budgets and a five-year financial outlook so that planned activity is delivered cost-effectively and in line with budget.

• Be an open and positive collaborator across the matrix structure of shared services that are used by all (Marketing, Finance, Human Resources, Development, Digital, Learning, Policy and Operations);

What you will bring to the team


• Fluent in both English and French

• Experience of fair / event management with expertise in production and logistics, a good decision maker, brilliant time manager, goal setter, strategic thinker and planner

• A convincing and persuasive communicator, able to influence and negotiate with senior stakeholders, the exhibitors and external agencies/stakeholders.

• You must relish teamwork and collaboration and understand how to nurture a varied team and support a wide range of other specialists to thrive.

• An advocate for ArtVendôme and ArtVendôme Fair Limited.

• Excellent interpersonal skills

• Personally resilient and optimistic; capable of motivating themselves and others, and able to protect their own energy and effectiveness when things are tough.

• Demonstrable financial and commercial skills, with commercial acumen and experience of rigorous budget management.

• A commitment to the overall aims of ArtVendôme.
