To be the first point of contact in the Cologne auction rooms for clients calls and visitors

Key Responsibilities

  • To be the welcoming face of Sotheby’s Cologne (telephone and visitors)
  • Greeting clients and providing general information on all aspects of Sotheby’ s
  • Dealing with all enquiries and referring clients to relevant staff members
  • Overseeing incoming and outcoming mail and deliveries
  • Ordering catalogues for Front of House display areas
  • Being responsible for organising and managing all events (organise the invite mailing, coordinating RSVPs, main point of contact for vendors and suppliers incl. catering and other logistics needed)
  • Checking weekly event list
  • Printing of auction result lists for clients
  • Maintenance of counter leaflets and brochures
  • Ordering office supplies
  • Keeping Front of House area immaculate (including flower displays)
  • Oversee housekeeping and help maintain cleanliness of all client area and the staff kitchen
  • Creating client accounts
  • Responsible for any absentee or telephone bids or preregistrations left by clients at the counter for worldwide sales
  • Coordinating Valuation Days Appointments and in-house Valuation Days
  • Act as expert liaison for non-inhouse Departments
  • Hire, train and oversee interns
  • Ensure catalogues for current sales are in-stock and available for purchase
  • Work with Catalogue Distribution to maintain catalogue supply
  • Supporting the Head of Cologne for administrational tasks
  • Coordinate seating and sale registration for Life Sales and work with Head of Logistics

Skills & Competencies

  • Well presented, articulate, numerate and organised, with excellent interpersonal skills
  • Hands on mentality
  • Ability and willingness to work evenings & weekends essential
  • Ability to work alone in a busy and potentially high pressure environment
  • Ability to work as part of a team
  •  Flexible and personable
  • Previous client service experience an advantage
  • Languages German (mother tongue or excellent level) and English fluent
