JOB OVERVIEW

Perrotin Hong Kong seeks a Gallery Assistant. Depending on the candidate’s experience and qualifications, the role may be contracted as a full-time internship (possibly leading to an employment contract) or a full-time employment contract.


Responsibilities

The Gallery Assistant will be part of a team providing administrative, coordination and operational support to the Hong Kong gallery on all its exhibitions, art fair participations, projects and activities. The Gallery Assistant is integral to maintaining a warm, welcoming atmosphere in the gallery through staffing the front desk and providing general assistance to visitors. This requires the Gallery Assistant to:

•    Develop a sound understanding of Perrotin’s roster of artists and programme of exhibitions.

•    Attend to front desk duties including transferring calls, handling enquiries, interacting with visitors, handling sales of books and merchandise, maintaining a tidy and organised front desk, switching on and off exhibitions, monitoring exhibitions, and alerting relevant colleagues to situations and matters arising at the front desk/in the gallery.

•    Assist the team with occasional general tasks and offsite tasks/projects where necessary. Assignments include but are not limited to the following:

     – Prepare and update files, briefs, information decks, proposals, presentations and reports;
     – Prepare, update and manage lists and databases;
     – Draft and translate correspondences;
     – Record meeting minutes;
     – Record and update expenses;
     – Prepare sales invoices, monitor payments and follow up with clients and relevant parties on post-sale requirements;
     – Project coordination from concept/proposal to delivery to post-project reporting;
     – Plan, monitor and update schedules and budgets;
     – Work closely with colleagues in various cities on matters related to design, communication, logistics and various operations;
     – Liaise with external parties such as fabricators, contractors, suppliers, fine art handlers and shippers, fine art insurers, and other relevant service providers;
     – Ad-hoc duties or projects as assigned.


Requirements
•    A Degree in art history, arts management or a related discipline.
•    Minimum of 1 to 2 years of working experience in the field of contemporary art, preferably at art galleries and auction houses (candidates with strong internship records may be considered).
•    Good command of written and spoken English, Chinese and Cantonese (additional languages including French, Japanese or Korean would be an advantage).
•    Interest and experience in customer service and sales would be an advantage.
•    Focused, energetic and committed team player with a positive ‘can do’ approach and a strong sense of urgency and initiative.
•    Strong skills in communication, inter-personal relations, coordination, time management and problem solving.
•    Detailed-oriented and thorough.
•    Mature, professional disposition with a global outlook.
•    Ability to thrive in an extremely fast-pace work environment that is multicultural and spans multiple time zones.
•    Willingness to work late and on days off in order to tend to deadlines and urgent matters if required.
•    Skilled in Mac operating system and Microsoft Office (skills in SketchUp and Adobe would be a strong asset).
•    Residential status in Hong Kong.
