Mucciaccia Contemporary is looking for a Gallery Assistant.
Qualifications and requirements
- BA or equivalent experience.
- Minimum of 3 years of relevant field experience.
- An active knowledge of, and passion for, modern and contemporary art
- Ability to use PC and Mac, Microsoft Office suite, including Excel and Word, Adobe Photoshop.
- Excellent written and verbal communication skills, time-management and organization.
- Good knowledge of English is indispensable.
Duties include but not limited to:
Front Desk
- Answering phones and managing general gallery voicemail and inbox
- Handling all outgoing mail, such as Fedex/DHL, exhibition invitation cards, catalogues, books and other
- Making sure gallery is always neat and in order
- Responsibility for managing new address entries and update database
- Ordering and storage of office equipment, stationary and general office supplies as well as kitchen supplies
- Assist with travel arrangements of staff and visitors
- Assist with hiring, training, and supervising gallery interns
- Manage the Gallery Owner-s and Director’s office to ensure the smooth running of the day-to-day operations and the Director’s schedule, calendar, and expenses.
- Maintain integrity of internal information, files on the gallery database and the Director’s office record-keeping systems (in excel and google docs) for sales, consignments, offers, client management etc.
- Provide the Director with client liaison support and engage with clients in a polite, professional manner where required with a prompt address of their concerns.
- Ensure the Director’s clients are kept up to date with the gallery program (event invitations, online initiatives, etc.).
- Exhibition and art fairs organization
- Assist with exhibitions and art fair preparations (install logistics, sales presentations, press and marketing).
- Arrange and assist with shipping as required.
- Compiling guest lists for opening dinners
- Supervise RSVPs, and guest lists
- Organization of gallery openings and exhibition events
- Set up and dismantle for events
- Organize hotel bookings for artists and their assistants
- Assist with any promotional and marketing events
- Social Media / maintain Instagram and website up-to-date
- Assist with publication process for exhibition catalogues.
- Monitor payments and deadlines s for exhibitions, art fairs, or other projects.
• Maintain schedule and deadlines for art fairs participation and application process and administration of the gallery’s participation.
Sales support
- Prepare sales presentations and exhibition or project proposals.
- Manage logistics around sales, exhibitions, art fairs, shipping, insurance, pre or
- post (condition reports)
