JOB OVERVIEW

The role is a fixed-term contract until end of April 2025, with the possibility to be transitioned into a permanent contrat.

We are seeking a highly motivated, organised and detailed oriented person to join our dynamic team in Hong Kong as Gallery & Project Manager.

As Gallery & Project Manager, you will be required to manage and lead a newly launched Awards program from inception to completion ensuring all deliverables are fulfilled and completed to high standards. You will also be responsible for supporting the Gallery Relations team by managing and facilitating the participation of Exhibitors by coordinating booth design and logistics, handling administrative tasks and relevant client management duties related to the Show.

This individual must demonstrate the proven ability to successfully lead projects and thrive in an environment with multiple responsibilities and deadlines.

Specific responsibilities include, but are not limited to:

Awards Program

  • You will lead and manage an Awards program from inception to completion including but not limited to; jury liason, stakeholder management, application management, organization of jury selection meetings, award ceremony and related logistics and deliverables
  • Facilitate all communications with media, jury members, applicants, awardees and key representatives
  • Ensure timely and quality updates to all parties as required
  • Act as the main point of contact while working closely with the Partnership Team to ensure all agreed deliverables are met

Gallery Relations

  • Support or lead pre-show communications with Exhibitors
  • Develop a good understanding of technical aspect of booth build-out & design
  • Support and lead pre-show preparations, including booth designs, booth orders, and project logistics
  • Support galleries on both presentation and booth design to ensure smooth delivery of booths pre-show
  • Act as onsite liaison and advisor in support of the exhibitors and the Gallery Relations Team
  • Network and interact with galleries from the region and at other shows to assure continuous customer satisfaction
  • Have sufficient level of knowledge of exhibitors’ gallery programs and artist representations

In General

  • You will support the Gallery Relations team in delivering successful shows
  • Manage and coordinate show-specific tasks across various projects
  • Lead and manage assigned tasks efficiently as needed
  • Support or lead projects within the Gallery Relations team
  • Document processes and share knowledge within the department
  • Assist with budgeting and revenue forecasting
  • Help streamline processes for other Art Basel shows
  • Support the Regional Head in improving systems and implementing changes
  • Develop and implement new gallery-related services and procedures
  • Coordinate with teams in Hong Kong, Europe, and America
  • Provide regular updates to Regional Heads, Directors, and Department Heads
  • Collaborate with various departments on ad hoc show-related tasks

Your profile

  • You are bringing minimum 5 years of experience in events, exhibitions, or galleries with strong project management skills.
  • You have excellent communication, interpersonal, and negotiation abilities.
  • Detail-oriented, quick learner with a focus on accuracy.
  • Confident team player who works well independently and in a team.
  • Energetic problem solver with initiative, openness to feedback, and a positive attitude.
  • Creative, capable of generating new ideas and processes.
  • Highly organized, able to manage multiple projects under pressure.
  • Patient, adaptable, and effective communicator, even in stressful situations.
  • Proficient in English and Chinese (including Putonghua).
  • Strong Microsoft Office skills.
  • Experience with managing an Awards Program is a plus
