Key Tasks and Responsibilities
• Sourcing, research and cataloging of all Chinese Art items consigned to sales
• Researching provenance of works, including time spent at local libraries
• Cataloguing:
o Writing catalog notes and essays as needed.
o Assisting with the layout of catalogs.
o Coordinate with the Photography department for catalog, promo, ads and any other marketing collateral as needed in adherence with established deadlines.
o Coordinate all copyright and image sourcing for comparative imagery used in sale catalogue
o Facilitate the Iris color correction of all photography for the sales
o Input corrections as needed; enter and update saleroom notices and ensure copies are available during previews.
• Property Control:
o Preparing property for meetings to determine value and condition and to amend manuscripts after meetings
o Examine condition of all property received alongside the Director of the department. Enter information into the internal database
o Preparing and sending condition reports
o Facilitate the resolution of inventory issues (including lingering property, missing, damaged, arranging restoration, etc.), working externally with clients and internally with inventory controllers and operations staff
• Customer Care:
o Responding to email valuation enquiries and dealing with front counter valuations
o Sending out special letters to market upcoming auctions
o Meeting and corresponding with clients
o Act as main liaison for the department to the Business manager, ensuring that issues are fully handled in a parallel fashion. Work directly with the consignors and all internal departments to ensure handling of all activities as they relate to the consignment process.
o Assist Specialists in timely response to inquiries via phone and email, particularly while the Specialists are out of the office
o Take the necessary actions to satisfy client concerns in a timely and cost effective manner. Escalate as needed.
o Answer general inquiries concerning sale and assist in private preview for visiting clients.
o Coordinate interest lists and condition report requests prior to auction.

• Sales:
o Responsible for all pre-sale, sale and post-sale coordination, including with the Marketing, Operations and Finance Departments to ensure flawless sale activity and maintenance of all sale related deadlines.
o Oversee and handle the authentication of items consigned in the sales
o Proof auction sheets, check for dropped lots, symbols, and ensure accuracy of auction values and reserves.
o Assist with post-auction inquiries, sale offers, customer service and problem solving.
o Support auctions by Phone bidding and/or Clerking
o Assist with preview set up and take down.
• Insurance valuations
• Business getting trips. Travel as needed for offsite previews and/or sales
• Coordinating marketing with the advertising team
• Maintaining library
• Assist Specialists with estate appraisals, including typing, property lists and photography of property
• Assist Specialists and client development team with management of client lists and client targeting
• Develop recommendations to streamline work processes, enhance services and maximize profitability
• Maintain department files, consignor documents and sale related archives in conjunction with Business Manager, sending copies to other offices as needed.
• Enter auction numbers, headings and make corrections to descriptions into internal database.

In addition to the tasks and responsibilities listed, you may be required to perform other duties as assigned by your Manager.

Required Skills
• Bachelor’s Degree in Art History and 2+ years experience in an office environment preferred.
• Excellent interpersonal and communication skills both written and oral
• Chinese language (Mandarin) written and spoken fluency required
• Able to work as part of team, and independently, with tight deadlines and under pressure
• Excellent attention to detail, time management and organization skills
• Competent Microsoft Word and Excel skills, ability to take and store digital photographs
• Excellent problem resolution skills and customer service skills
• PC proficiency with Microsoft Office applications Word, Excel, Outlook and ability to learn other software programs
• Ability to lift 20-40 lbs.
