Full time (40 hours/per week)
Salary: 4.000 EUR per month
Office: Berlin-Charlottenburg

Established in 2021, LEAP Contemporary Art Fund is an international, independent charity, pooling donations from patrons and partners to support new art for the widest possible audiences.
LEAP’s founder and CEO, Bettina Böhm, has raised and made available to the public around 3.0 Mio EUR to support the creative cultural ecosystem in the last six years in her former philanthropical engagement for OUTSET Germany_Switzerland and now for LEAP.
This spans education, professional development, the production of new art works and exhibitions, institutional collecting and initiatives that underpin the creative infrastructure in the long term. Always keeping patrons, corporate partners and professionals at its core, LEAP creates unparalleled experiences for people curious to engage in dynamic artistic discourse.

The role


As the Office Manager & Events Coordinator for LEAP you will be at the centre of a leading arts charity undergoing significant growth and expansion. Your role ensures outstanding delivery of events related to a celebrated patrons / partners program from studio visits with exciting contemporary artists to gala events with corporate partners. At the same time you will also be entrusted with running the office administration supporting the Director with direct access to her as well as LEAP’s trustees, patrons and
wider network.

Overview of Tasks


Office Management

  • General office duties and supervision of the LEAP office ensuring smooth running, effective filing and management of team’s schedules and activities
  • Office filing and organisation
  • Regular accounting in consultation with tax advisors and lawyers; including administration related to donations
  • Diligent database management
  • Directors calendar management
  • Management of office supplies
  • Postal administration
  • General team support where required work tasks

Coordination of Events

  • Organisation and logistic delivery of LEAP’s international trips for its patrons, corporate partners and wider network.
  • The events relate to the LEAP program run for its various patron circles
  • Management invitations, guest lists, mail-outs and confirmations of participation
  • Research on prospective event locations
  • Liaising with host venues such as galleries, artists, curators and high profile individuals
  • Delivery of logistics for the event including transportation, accommodation, hospitality and technical assistance with audio-visual equipment where required
  • Attendance at events is required for overseeing the logistical coordination
  • Planning, preparation, follow-up and implementation of patronage trips + events
  • Management of event budgets

Requirements

  • Master’s degree or at least Bachelor’s Degree
  • Minimum of three years professional experience working in events coordination and/or administrative roles
  • Demonstrated ability to prepare and execute complex logistical operations and organise a busy office
  • Strong capacity to prioritise tasks and manage multiple events/projects diligently and proactively
  • Excellent communication skills, including correspondence and interpersonal skills
  • Strong ability to multi-task and work in a focused manner in a fast-paced environment
  • Strong team player
  • Perfect language skills (oral and written) in German and English
  • Spreadsheet management (MS Excel)
