JOB OVERVIEW

The Operations Manager leads and coordinates exhibitions, auctions, tours and events in Asia, as well as supports the day-to-day operations and administrative work for both the gallery and office. This position works closely with the wider operations team, specialists, marketing and business development to deliver exceptional client experience through exhibitions, auctions, tours and events curation. Duties and Responsibilities:

Auctions, Exhibitions and Touring

  • Coordinate with internal departments, representative offices and external vendors on all venue set-up design (including AV), logistic planning and scheduling.
  • Budget control for auctions, exhibitions, and touring.
  • Manage recruitment process for temporary exhibition assistants.
  • Proactively handle and solve any arising issues on site during the exhibition and auctions.
  • Work with the Operations Director, as well as the security and shipping teams to ensure compliance with insurance, legal, health and safety.
  • Coordinate hotel bookings for overseas staff.

Events

  • Assist Marketing and Business Development on venue set-up and logistics planning.

Day to Day Office Operations

  • Propose and develop continuous improvement initiatives to benefit the company.
  • Ensure operations is under full compliance of company policies and lawful regulations in different countries.
  • Liaise with accounting department for all out going payments and maintain payment records.
  • Budget control for all Asia offices.
  • Work with customer services team, security team, and IT team to ensure a smooth office operation.
  • Execute ad hoc projects as assigned by management.
  • Oversee the general office operations such as office supplies, pantry supplies, cleanliness, and maintenance.

Professional Skills and Experience

  • 10+ years experience in project management and/or event organization, preferred.
  • Art or auction house experience in events and/or travelling exhibitions, desirable.
  • In-depth knowledge of venue staging, including AV, production processes, production resources, local event permit requirements, and other event resources.
  • Demonstrated interest in events and exhibition set-up, display design, staging, AV, lighting, and/or livestreaming.
  • Proactively identify challenges and find solutions.
  • Ability to multi-task under pressure.
  • Cost and numbers sensitive.
  • Excellent communication skills in English and Chinese (verbal and written).
  • Ability to manage team and delegate tasks effectively.
  • Excellent time management skills.
  • Flexibility for domestic and international travel, as needed.
  • Microsoft office skills (word, excel and power point), desirable.

Working Conditions

  • Work is primarily undertaken in our Hong Kong office.
  • Periodic evening/weekend coverage for events/sale season as needed.
