JOB OVERVIEW

The Role

We require an experienced  Project Manager who can successfully contribute to and deliver both multiple UK and global projects across the Operations group. The candidate should have experience in applying standard Project Management methodologies and managing stakeholders at all levels. The candidate needs to be self-motivated and pro-active, with good organisational skills and a strong ability to lead meetings and produce structured and effective presentations. Developing strong relationships within Operations and across the broader business will be key to this role. The candidate needs to be comfortable delivering operational business projects, while working in a highly dynamic, ambiguous and changing environment in a collaborative manner. Examples of projects, include Global Travel Policy, Historical Archives,  Building Developments & Enhancements & our Sustainability Program.

Specific duties & responsibilities will include, but are not limited to

  • Support Operations Senior Management to manage and deliver global priority projects.
  • Develop and maintain a strong rapport with stakeholders at all levels across the business, ensuring project alignment with other groups and projects.
  • Project Planning & Monitoring & Reporting – Develop and maintain detailed project plans using appropriate tools to ensure timely project delivery.
  • Create appropriate project management templates and protocols as necessary.
  • Quickly gain an understanding of the business issues, with the ability to spot trends and make recommendations for implementing solutions.
  • Deliver presentations to stakeholders at all levels across all regions.
  • Gather and analyse data to support project definition and execution, distilling key information into high-level summaries or detailed descriptions as appropriate.
  • Identify and manage project dependencies and the critical path. Monitor tasks, milestones and resources weekly against the project plan.
  • Risk & Issue Management – Identify record, manage and mitigate risks, to prevent those becoming issues. Resolve issues, escalating as necessary.
  • Provide regular reports and updates in line with management and business stakeholder requirements.
  • Self-sufficient in managing project coordination including but not limited to scheduling meetings, setting agendas, circulating minutes and managing follow up actions.
  • Coordinate, prepare and schedule stakeholder and executive meetings.
  • Manage upwards to ensure effective decision making, escalation and prioritisation.
  • Manage third-party supplier relationships who are appointed to support projects.
  • Work with Senior Management and the Finance Business Partner to ensure budgets, phasing and expenditure are actively tracked and managed.

  • Must be able to naturally operate at all levels with ease and comfort.
  • Must have experience working within other large complex, matrixed organisations with the ability to inspire others with confidence and display instant abilities in business change and project implementation.
  • Must be competent in leading and contributing to meetings and workshops.
  • Highly organised and logical in thought and action, with the ability to keep calm in an exciting business environment.
  • Excellent stakeholder management skills, able to build relationships at all levels of the organisation.
  • Exemplary track record of project management and delivery, business analysis, change management within a business change environment.
  • Exceptional communication skills, written, verbal and presentation.
  • Excellent interpersonal & listening skills.
  • Resilient, self-confident and assertive.
  • Demonstrating enthusiasm, drive and energy.
  • Professional Programme/Project Management qualifications e.g. APM, PRINCE2, PMI, PMBOK, MSP, etc. are strongly recommended.
  • Have experience implementing business change projects and delivering difficult messages.
  • Proven track record in managing senior stakeholders.
  • Solid academic credentials (preferably a BA Hons 2.1 degree for UK candidates).
  • Working with Geographically dispersed teams.
  • Proficiency with Microsoft Office suite  as well as with Monday.com
