JOB OVERVIEW

Join the team that is aligned with the Operation Division of Qube Art and support the firm in order to establish strong working relations. It is expected that the role will sit within teams of up to a maximum of 7 individuals and will report to the Project Manager. You will work closely with the production & sales team ensuring the projects are completed on time and within budget. The job is to work with various members of the project team and the client to develop a timeline, create schedules, and oversee progress to make sure goals are met on time. They are also responsible for organizing contracts, financial files, reports, and invoices, and performing administrative duties such as ordering office supplies, bookkeeping, and billing for specific projects. The individual is also responsible for coordinating and attending meetings and developing project strategies for B2B and monitoring the B2C retail production and deliveries.

Work you’ll do

  • Coordinating project schedules, resources, equipment and information
  • Liaising with clients to identify and define project requirements, scope and objectives
  • Ensuring that clients’ needs are met as the project evolves As a part of the Operations team, you will be responsible for:
  • Coordinate project management activities, resources, equipment and information
  • Break projects into doable actions and set timeframes
  • Liaise with clients to identify and define requirements, scope and objectives
  • Assign tasks to internal teams and assist with schedule management
  • Make sure that clients’ needs are met as projects evolve
  • Help prepare budgets
  • Analyse risks and opportunities
  • Oversee project procurement management
  • Monitor project progress and handle any issues that arise
  • Act as the point of contact and communicate project status to all participants
  • Work with the Project Manager to eliminate blockers
  • Use tools to monitor working hours, plans and expenditures
  • Issue all appropriate legal paperwork including contracts and terms of the agreement
  • Create and maintain comprehensive project documentation, plans and reports
  • Ensure standards and requirements are met through conducting quality assurance tests

Work Location: Al Quoz, Dubai

Shift Timings: SATURDAY TO THURSDAY, 9 AM to 6 PM

Qualifications Required:

  • Proven work experience as a Project Coordinator or similar role
  • Experience in project management, from conception to delivery
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Familiarity with risk management and quality assurance control
  • Strong working knowledge of Microsoft Project and Microsoft Planner
  • BSc in Business Administration or related field
  • PMP / PRINCE2 certification is a plus

Preferred:

  • Understanding of Arts & Craft domain
  • Hands-on experience with project management tools (Basecamp or Trello)
