We are seeking a temporary part-time Office Manager and Executive Assistant to join our Berlin office. This position is a 15-month parental leave coverage, 8-10 hours per week, starting in September 2024, with the possibility of extension. The position is suitable both for self-employed work on an hourly basis as well as for part-time employment.
As an Office Manager and Executive Assistant, you will organize and coordinate administrative tasks and office procedures. You will be responsible to create and maintain a professional working environment for approximated. 8 employees and ensure an excellent level of organizational effectiveness, communication, accuracy and discretion.
You will work closely with our New York office and support the executive team to ensure that all administrative, clerical and personal tasks are completed on time and flawlessly. You must have excellent time management skills and be able to act independently and proactively without instructions. The ability to multitask is essential.
Responsibilities:
- Collaborate with the Finance department in New York for finance and accounting tasks such as invoicing and billing.
- Coordinate all technical issues and updates for the Berlin office in collaboration with the IT department.
- Manage general office operations for the Berlin office, including insurance and legal communications, as well as mail handling.
- Assist the executive team in organizing the annual shareholders meeting.
- Manage finance and accounting tasks for the executive team.
- Conduct regular meetings with the executive team.
- Serve as the primary contact and work closely with the company tax accountant.
- Track and manage insurances in collaboration with the insurance broker.
- Oversee the art collection, including buying, selling, shipping, and managing the artwork inventory.
- Native-level proficiency in German and excellent English language skills.
- 3-5 years of experience in a similar role, particularly in administration and accounting.
- Must be based in Berlin.
- Knowledge and interest in art are advantageous.
